POSITION DESCRIPTION
We are seeking a highly organised and detail-oriented Assessment Operations Officer to join the Assessment and Academic Partnerships team at British University Vietnam. This role plays a key part in the planning, administration, and delivery of assessment operations, ensuring all assessments are conducted accurately, securely, and in full compliance with University and awarding body regulations.
The postholder will be responsible for coordinating examination schedules, logistics, and resources; liaising closely with academic teams and relevant stakeholders; and supporting smooth exam delivery from planning through post-exam administration. The role also involves maintaining accurate assessment records, responding to student enquiries, and preparing documentation for Examination Boards as assigned by the line manager.
AREAS OF RESPONSIBILITY
- Exam Planning and Preparation: Coordinate examination schedules across programmes, ensuring accuracy, feasibility, and no timetable conflicts. Liaise with academic departments to confirm assessment requirements and arrange venues, materials, invigilators, and reasonable adjustments well in advance.
- Candidate Registration and Exam Entry: Manage exam registration and entry processes, ensuring eligible students are correctly recorded and compliant with deadlines. Verify student data and support resolution of registration-related issues.
- Stakeholder Communication: Communicate examination schedules, instructions, and updates to students, academic staff, invigilators, and relevant campus services. Escalate and report issues to the Exams Office Manager in line with approved timelines and regulations.
- Exam Materials and Security: Oversee the secure receipt, storage, handling, and distribution of examination materials, always maintaining confidentiality and assessment integrity.
- Exam Day Operations: Support end-to-end exam delivery, including venue setup, invigilator briefing, materials distribution, and real-time issue handling to ensure examinations run smoothly and in compliance with regulations.
- Invigilator Management: Support the recruitment, training, scheduling, and coordination of invigilators, ensuring adequate coverage and adherence to examination procedures.
- Compliance and Quality Assurance: Ensure all assessment activities comply with BUV regulations, awarding body requirements, and policies on academic integrity, confidentiality, and data protection.
- Post-Exam Administration: Support post-exam processes including handling student enquiries, maintaining records, and preparing documentation for Examination Boards and related reporting, as assigned by the line manager.

COMPETENCIES (knowledge, skills, and abilities)
Essential
- Vietnamese national.
- Bachelor’s degree, preferably in Education, Business, or Foreign Languages.
- Good written and verbal communication skills in both Vietnamese and English.
- Strong computer literacy, particularly in MS Office (Word, Excel, PowerPoint, Outlook).
- Ability to work collaboratively in a team-oriented environment.
- High attention to detail and accuracy in handling data and documentation.
- Strong time-management and prioritisation skills.
- Reliable, adaptable, and responsible, with a strong sense of accountability.

- Minimum 3 years’ experience in a similar assessment or examinations role within a university or comparable institutional environment.
