JOB PURPOSE:

To provide a confidential and professional personal assistant support service to the Deputy Vice-Chancellor & Vice-President. The post holder will report to and work directly with the Deputy Vice-Chancellor & Vice-President to frame internal and external activities.

AREAS OF RESPONSIBILITIES

  • Maintain daily schedules and co-ordination of the Deputy Vice-Chancellor & Vice-President’s commitments;
  • Arrange and coordinate appointments and meetings for the Deputy Vice-Chancellor & Vice-President;
  • Prepare all correspondence and other documentation as may be requested by the Deputy Vice-Chancellor & Vice-President from time to time;
  • Assist the Deputy Vice-Chancellor and Vice-President of impending internal and external work;
  • Make all logistical arrangements, including travel, for the Deputy Vice-Chancellor & Vice-President;
  • Respond accurately and efficiently to all enquiries from the Deputy Vice-Chancellor & Vice-President, using own initiative and to liaise effectively with internal and external contacts;
  • Oversee and coordinate basic budget information for the Office of the Deputy Vice-Chancellor & Vice-President;
  • Independently research confidential, controversial and restricted data other material as required by the Deputy Vice-Chancellor & Vice-President for various projects;
  • Assist in the preparation of all domestic and international travel itineraries and as such, coordinate all arrangements for the itinerary where the Deputy Vice-Chancellor & Vice-President has involvement;
  • Appropriately execute any other duties as directed by the Deputy Vice-Chancellor & Vice-President, or other senior leaders as assigned by the Deputy Vice-Chancellor & Vice-President.

REQUIREMENTS & QUALIFICATIONS

  • University degree from any recognized university;
  • A minimum working experience of 3 years working with top management staff.

COMPETENCIES (KNOWLEDGE, SKILLS & ABILITIES)

  • Excellent communication both in Vietnamese and English;
  • Computer literacy – MS office applications (Word, Excel, Power Point, Outlook) and library software applications in future schedule working condition;
  • Excellent communicator, a good listener and dedicated to detail;
  • A wide exposure, broad knowledge and up to date with current affairs;
  • Able to work under deadlines;
  • Able to take up emergency assignments and perform them effectively;
  • Upholds sound work ethics and is highly disciplined;
  • Cross cultural awareness and sensitivity thereof;
  • Possessing a tenacious attitude, friendly, honest, trustworthy, respectful and flexible;
  • Able to work with minimal supervision, independently or as part of a team.
