POSITION PURPOSE
The Campus Central Officer is responsible for delivering a proactive, student-centric, and technology-enabled support experience for students and parents across the student lifecycle. The role serves as a key operational and strategic contributor to the university’s integrated “one-stop” support centre, ensuring seamless communication, efficient case management, service excellence, and continuous process improvement.
The position supports BUV’s strategic direction of transitioning from a traditional reactive support model to a proactive service excellence framework aligned with international standards and scalable university growth.
AREAS OF RESPONSIBILITY
Student Communication/ services
- Serve as the first point of contact for student and parent enquiries across academic, administrative, financial, and student support matters.
- Deliver accurate, timely, and professional guidance through multiple support channels, including walk-in, phone, email, ticketing systems, chatbot, mobile applications, and self-service platforms.
- Provide proactive consultation and support to students during key transition stages, including onboarding, progression between academic years, academic interventions, and graduation.
- Support the implementation and consistent delivery of Service Level Agreements (SLAs), ensuring compliance with agreed service standards and response timelines.
- Ensure all enquiries, requests, and cases are handled transparently and efficiently while maintaining high service satisfaction standard
Parent Engagement and Communication
- Support the development and distribution of structured parent communication resources, including FAQ documents and service guidance materials.
- Coordinate and arrange meetings between parents and relevant university representatives in a timely and professional manner.
- Ensure meeting records and relevant communications are properly documented and updated within student records and systems.
- Collaborate with relevant stakeholders to ensure parents receive necessary updates regarding student attendance, engagement where appropriate.
Technology and Digital Service Integration
- Support and promote the effective use of digital platforms, including SITS, AI chatbot systems, Campus Central mobile app, attendance systems, and VOIP platforms.
- Contribute to maintaining high-quality knowledge base content for AI chatbot systems, ensuring information accuracy and alignment with university policies and procedures.
- Participate in testing, implementation, training, and continuous improvement initiatives related to university systems and digital services.
POSITION SPECIFICATIONS
COMPETENCIES (knowledge, skills, and abilities)
- Bachelor’s degree in education, Business Administration, Customer Service, Communications, or related fields.
- Experience in student services, customer service, administration, operations, or related roles.
- Experience in higher education or international education environments is preferred.
- Excellent English and Vietnameses verbal and written communication skills
- Experience working with CRM, or student information systems, is an advantage.
