BRITISH UNIVERSITY VIETNAM (BUV)

British University Vietnam (BUV) is the first and only international university in Vietnam to directly award British degrees from the prestigious University of London and other UK universities. BUV is rated a 5 Star university of excellence by the world recognised QS accreditor and is also recognised with a University-wide accreditation from the UK’s Quality Assurance Agency (QAA).

POSITION PURPOSE

The relationship between a student and the university extends well beyond graduation. Maintaining and strengthening this lifelong connection is a key priority of the Alumni Relations Office. The office fosters meaningful engagement with graduates through newsletters, events, digital platforms, and various outreach initiatives. The Alumni Relations Officer plays a central role in building and maintaining strong ties between alumni and the university community. This position focuses on strategic relationships, professional development support, and promoting alumni engagement.

The role also involves engaging current students and integrating them into the alumni network, cultivating a sense of belonging and pride from early on. Promotion, community building, and stakeholder collaboration are critical components of this role.

Reporting to the Head of Student Engagement, the Alumni Relations Officer is responsible for delivering the university’s alumni engagement strategy in line with institutional priorities. The postholder will coordinate a variety of initiatives, including alumni events, campaigns, BUV Alumni Chapter Committee (BACC), Notable Alumni Group, different alumni chapters, mentoring programmes, and career or education support services. They will also serve as a key advisor on alumni matters, act as an ambassador for the university, and manage alumni data systems, providing analytics, responding to internal queries, and ensuring effective use of the alumni database.

AREAS OF RESPONSIBILITY

Project management, Alumni activities and events

  • Lead and manage alumni-related projects in coordination with Faculty, Marketing & Comms, Career Services, Student Life, and other internal teams to support university-wide engagement strategies
  • Identify and develop new alumni engagement opportunities that align with departmental and institutional priorities
  • Produce detailed project plans for alumni events and initiatives, ensuring timely execution and high-quality outcomes.

Alumni benefit services, community building and External relations

  • Recruit new alumni members into strategic engagement groups such as BACC, Notable Alumni, Interest-based Chapters, and Mentorship networks through events, personal outreach, and presentations
  • Build university-community partnerships by engaging business and community leaders, encouraging sustained alumni involvement in institutional initiatives.
  • Collaborate with university departments and external partners to develop and promote benefits packages for alumni members.
  • Establish new partnerships with different businesses to enhance alumni value offerings and increase engagement through tangible incentives.

Data Management and Reporting

  • Serve as the operational lead for the alumni section of the university’s database, ensuring data accuracy, relevance, and accessibility.
  • Manage the alumni database by updating records with new information received through alumni updates, staff input, personal contacts, and data scraping methods.
  • Oversee the annual data processing for all graduating students, including survey deployment, data collection, cleansing, reformatting, and timely import into BUV’s system.
  • Develop and produce alumni engagement metrics and dashboards to demonstrate performance against relevant KPIs and strategic goals.
  • Provide data analysis and reporting to Faculties and other leadership teams, ensuring that all alumni-related activities are accurately tracked and insights are delivered for decision-making.
  • Actively seek opportunities to reconnect with inactive alumni and expand the breadth and depth of contact information held.
  • Provide guidance and support to internal stakeholders on the effective use of alumni data systems, ensuring consistent practices and compliance with data protocols.

Assist the Student Engagement Department and the university in other areas as needs arise.

POSITION SPECIFICATIONS

COMPETENCIES (knowledge, skills, and abilities)

  • Degrees in areas such as social science, business and marketing will be advantageous. Professional qualifications in the areas of administration and marketing are desirable
  • Experience of operating events and project management is essential
  • Excellent interpersonal, verbal and written communication skills, with a track record of communicating information to a variety of audiences
  • Ability to develop and use a network of contacts efficiently with capability for scale-up
  • Strong planning, organization, and stakeholder management skills, with the ability to monitor multiple projects of varying scales effectively.
  • Excellent spoken and written English skills.
  • Proficiency in data management and analysis, using data-driven decision-making for improvements.
  • Willing to work occasional weekends and evenings
