BRITISH UNIVERSITY VIETNAM (BUV)

POSITION PURPOSE

The Event Manager leads the end-to-end planning and delivery of BUV’s events portfolio, with a primary focus on student recruitment events (approx. 80%) and selected internal/university events (approx. 20%). The role ensures every event delivers an outstanding brand experience and measurable contribution to the admissions pipeline through lead quality, conversion outcomes, and ROI.

This is a hands-on leadership role: the Event Manager will both drive strategy and actively execute events alongside a team of Event Officers, ensuring operational excellence, stakeholder alignment, compliance, and continuous improvement.

AREAS OF RESPONSIBILITY

1)  Recruitment Event Strategy, Planning & Performance (Data-led)

  • Own the recruitment events strategy and annual events calendar aligned with campaign priorities and the admissions cycle.
  • Build event concepts that strengthen brand preference and support conversion, ensuring content, speakers, and journeys are designed with audience insight.
  • Define event success metrics and deliver regular performance reporting (dashboards/scorecards) to inform decisions to scale / improve / stop specific formats.

Typical KPIs may include (not limited to):

  • Registration-to-attendance rate (show-up rate)
  • Lead capture completeness and data quality (including consent)
  • Cost per attendee / cost per lead (CPL), by event type
  • Lead-to-application and application-to-deposit/enrolment contribution (where attribution applies)
  • Event NPS / experience satisfaction scores

2) End-to-End Event Delivery (Concept → On-site → Post-event)

  • Lead end-to-end delivery across all assigned events: briefing, run-of-show, production schedules, staffing, speaker management, rehearsals, onsite operations, and post-event follow-up.
  • Ensure high standards of attendee experience and event branding consistency across touchpoints (invites, signage, onsite flow, MC scripts, photography/video, post-event comms).
  • Standardise and continuously improve event playbooks (SOPs, checklists, templates, supplier briefs) to enable quality delivery at scale.

3)  CRM & Lead Capture Operations (Admissions Pipeline Integrity)

  • Partner with Recruitment and CRM owners to ensure event lead capture is accurate, compliant, and actionable (tagging, segmentation, deduplication, handover SLAs).
  • Drive operational discipline around lead capture tools and workflows (QR check-in, forms, scanning), ensuring “no data left behind”.
  • Collaborate on post-event nurture requirements (e.g., follow-up communications, calling priorities, conversion events).

4)  Stakeholder Management & Cross-functional Collaboration

  • Work closely with key stakeholders to align objectives and execution, including (but not limited to): Recruiment, HE’s Schools/Faculty, Student Engagement, Campus Service, Finance/Procurement, and Creative
  • Manage stakeholder expectations with clear timelines, briefing documents, decision points, and escalation

5)  Risk Management, Compliance & Duty of Care

  • Develop and implement event risk assessments and mitigation plans (crowd control, emergency procedures, vendor safety).
  • Ensure compliance in lead capture and communications (data privacy, consent management) and apply safeguarding principles where relevant.

6)  Budget Ownership, Vendor & Agency Management

  • Manage the events budget with strong financial stewardship, ensuring best value for money while protecting experience quality.
  • Collaborate with Procurement to build and maintain a preferred supplier ecosystem (production, fabrication, staffing, photography/video, printing) with clear SLAs and performance reviews.
  • Lead vendor negotiation, contracting inputs, and delivery oversight to ensure timelines, quality, and cost

7)  Team Leadership & Capability Building

  • Lead, coach, and develop a high-performing Events team, setting clear priorities and ensuring delivery
  • Create team capacity plans and propose resourcing expansion as the events portfolio
  • Foster a culture of collaboration, ownership, and continuous

8)  Branded Merchandise & Marketing Collateral (Governance & Coordination)

  • In partnership with Creative Services, oversee the planning and governance of event collateral and branded merchandise (sourcing coordination, usage planning, distribution workflows), ensuring availability and brand consistency.

POSITION SPECIFICATIONS

COMPETENCIES (knowledge, skills, and abilities)

Essential (Knowledge, Skills & Experience)

  • Bachelor’s degree in Marketing, Communications, Event Management, Hospitality, or related
  • Minimum 5+ years of progressive event management experience, with a strong portfolio across small to large-scale events.
  • Hands-on delivery experience: proven ability to manage both strategy and onsite operations under
  • Minimum 2+ years of people leadership experience (directly managing and developing team members).
  • Demonstrable experience in:
    • End-to-end event planning and execution
  • Budget ownership and vendor negotiation
  • Stakeholder management in a complex/matrix environment
  • Data-driven performance tracking and post-event reporting
  • Strong project management, organisational, prioritisation and communication skills (written and verbal English required; Vietnamese highly advantageous depending on audience).

Desirable

  • Master’s degree and/or professional certifications
  • Experience in international higher education / premium education
  • Experience delivering recruitment marketing events with measurable pipeline outcomes (conversion/CPL/attendance improvements)
